Courses and Fees
IH Manchester may change or cancel advertised courses without telling you in advance.
IH Manchester may also change course prices or lesson timetables without telling you in advance.
If UK VAT laws change, International House Manchester may ask the student, their parents, or their agent to pay any extra costs caused by this change.
Course Enrolment Requirements
All courses have entry requirements. These include a minimum age of 18 and a required level of English. Please check the course information for full details.
You must give correct information when you apply. If we find that any information in your application is incorrect, we may need to change your enrolment.
You will be responsible for any costs caused by these changes. In some situations, you may have to leave your course and accommodation without receiving a refund.
Deposit and Payment
The cost of your course will be shown on the invoice from IH Manchester.
Students, their agents, or their representatives must pay all course fees and any other costs connected with the course.
You must pay a deposit of 15% of the total course fees when you book your course.
You must pay the full course fees at least 14 days before your course starts.
If you book less than 14 days before your course starts, you must pay all fees immediately.
Payments must be made in Pounds Sterling (£GBP) to our GBP bank account with Lloyds Bank.
Our prices are fixed in Pounds Sterling. You must pay any costs for currency exchange or bank transfers. You must also make sure that you pay the money into the correct IJ Tours Limited bank account. The bank details are on your invoice.
Your airport transfer, accommodation, and course will only be confirmed when:
all required payments have been made; and
IH Manchester has received proof that your visa application was successful, if you need a visa.
If you complete these requirements less than 72 hours before you arrive in the UK or check into your accommodation, we cannot guarantee that your airport transfer, accommodation, or course will be available.
If you do not pay the required fees, IH Manchester may remove you from the course and cancel your enrolment.
There is an extra charge for late payments unless we have agreed something different with you. Interest will be charged at 5% above the current Lloyds Bank base rate.
If you book a group course but we do not have a class at your English level, we will give you individual lessons instead. You will receive 50% of the number of lessons you booked.
Cancellation
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the legal right to cancel your contract within 14 days of your application without giving a reason.
This is called the Cancellation Period.
To cancel, you must clearly tell us that you want to cancel. You can do this in writing by email to
katie@ihmanchester.com or by post to our Head Office.
Your cancellation is only valid when IH Manchester sends you an email confirming that we have received it.
We will not start providing services during the 14-day Cancellation Period unless you clearly asked us to start them on your application form.
If you cancel after the 14-day Cancellation Period and close to your arrival date, you will have to pay a cancellation fee:
If you cancel more than 21 days before the course starts, you will lose your 15% deposit and registration fee.
If you cancel 21 to 15 days before the course starts, you will lose 33% of the total fees.
If you cancel 14 to 8 days before the course starts, you will lose 66% of the total fees.
If you cancel 7 days or less before the course starts, you will lose 100% of the total fees.
Refunds
If your visa application is refused, you must send us written proof.
We will then refund the money you have paid, minus an administration fee of £100.
After you give us your bank details and signed permission to pay the refund into that account, we will pay the refund within four weeks.
We will consider other refund requests individually. We will normally only give a refund in exceptional situations.
We do not give refunds if you:
We do not give refunds for days when the school is closed because of UK bank holidays. However, when possible, we will offer classes on other days during your course to replace classes missed because of a bank holiday.
If you choose to shorten your course and leave early, you cannot receive a refund for unused weeks. You also cannot transfer the money to another person or course.
Course fee refunds will be paid to the bank account or person that originally made the payment.
Private One-to-One Classes
These rules apply to private one-to-one classes, both online and in person.
If you miss a one-to-one class, we will not normally offer the class again at another time unless this was agreed with the school at least 24 hours before the scheduled class.
For online lessons, this rule also applies if you cannot join because of problems with Zoom or your internet connection.
You must not allow another person to join or access your private class with you.
Booking Changes and Course Extensions
Changes or extensions to accommodation depend on availability.
There may be an additional charge of £50.
If your preferred type of accommodation is not available, IH Manchester will try to offer you another suitable option.
If you want to extend or change your course or accommodation, you must contact IH Manchester by email or WhatsApp at least one week before your current course or accommodation ends.
If you want to leave your homestay, you must give one week’s notice. If you want to leave with less than one week’s notice, you must pay one week’s homestay fees.
If you extend a residence booking, you may have to move to another room.
If you extend a homestay booking, you may have to move to a different host family.
You must pay any transport costs caused by changing or extending your accommodation.
If you want to change or cancel an airport transfer, you must tell us at least 72 hours before your planned arrival or departure time.
If you tell us less than 72 hours before your arrival or departure, you must pay the full airport transfer fee.
UK Visas and Immigration Rules
If you need a visa to study in the UK, it is your responsibility to get the correct visa before you travel.
You should contact the British Embassy or High Commission in your country and check the UK Visas and Immigration (UKVI) website for the latest information.
IH Manchester follows UKVI rules. As part of our responsibilities, we may give UKVI information about students. This may include information about your attendance and contact details.
You must tell us immediately if your contact details change. This includes your:
address;
telephone number;
mobile number; or
email address.
You must also tell us about any change in your situation that could affect your immigration status or your permission to stay in the UK.
There may be restrictions on working while you study in the UK. You should check the UKVI website for full information.
If you work in a way that breaks the conditions of your visa, we may report you to UKVI and you may have to leave the school.
IH Manchester cannot give you documents to support your visa application until you have made the first required payment.
Homestay
IH Manchester takes care to make sure that homestays are suitable for students.
However, IH Manchester cannot accept responsibility for accidents or incidents that happen in the homestay.

Internet Use in Homestay and at School
Many host families allow students to use their internet or Wi-Fi.
When using the internet at your homestay or at school, you must not download:
adult or sexual content;
illegal content;
harmful software; or
harmful online content.
Activities and Excursions
Activities and excursions are optional and are normally not included in your course fee.
Some activities in our social programme are organised and led by Smile Adventures.
IH Manchester staff do not usually go with students on these excursions.
IH Manchester does not accept responsibility if you lose your belongings or are personally injured while taking part in these activities.
Medical and Accident Insurance
All students must have suitable insurance.
We recommend arranging travel or student insurance before travelling to the UK.
Your insurance should be suitable for international students and should cover medical costs and costs connected with accidents.
Medical Treatment
IH Manchester staff cannot give students prescription or non-prescription medicines.
If you need medical, dental, or eye treatment, staff can help you find suitable treatment or advise you to get medical help as soon as possible.
Unacceptable Behaviour
Staff, homestay providers, and students must not experience abusive, offensive, or unacceptable behaviour.
If you behave in an unacceptable way or break our policies, we may permanently remove you from the school or cancel your course.
If this happens, you will not receive a refund.

Events Outside Our Control
Sometimes the school may have to close or students may have to return home early because of events that the school cannot reasonably control.
Examples include:
fire;
flooding;
infectious diseases;
war; or
terrorism.
These types of events are sometimes called force majeure.
If this happens, we will not give refunds. However, you may be able to claim money through your insurance.
We will make every reasonable effort to keep the school open. This may mean that some classes become larger or that we change the timetable so staff can teach all planned lessons.
Data Protection
The school will process the personal information that you give us now or in the future.
We will do this according to the UK GDPR and relevant data protection laws.
Under data protection law, you may ask us for a copy of certain personal information that we hold about you.

Making a Complaint Through English UK
If you are not satisfied with the school’s response to your complaint, you can contact English UK for advice.
For private schools and language centres, English UK will first try to help the student and school reach an agreement.
If this does not work, the complaint can be sent to an independent Ombudsman. The Ombudsman will make a decision that the school must follow.
Before contacting English UK, you should first discuss your complaint with the Principal or another suitable member of school staff. For example, you could speak to the Director of Studies, Accommodation Officer, or Student Counsellor.
If you are still not satisfied after receiving the school’s answer, you can write in English to English UK for the attention of the Chief Executive or email
sarah@englishuk.com.
English UK does not accept complaints by telephone because it needs a written record in case the complaint later goes to the Ombudsman.
English UK can only deal with complaints from international students studying an English language course at an English UK member school.
English UK cannot accept complaints:
from teachers, other staff, agents, or host families about problems with schools;
from people who do not want to give their names;
about courses such as computing, business studies, or work experience placements, even when these take place at member schools; or
about schools that are not full members of English UK.
Unless there is an exceptional reason, English UK will normally not consider a complaint if your course ended more than six months ago.
A close family member, such as a parent, brother, sister, uncle, or aunt, can make a complaint for you.
Another representative can also make a complaint for you if you have given them written permission to do this.
When you explain your complaint, you should:
give the facts clearly;
include copies of useful documents, such as your enrolment form, invoice, or letters;
check the school’s terms and conditions that you accepted when you enrolled; and
explain what you have already done to try to solve the problem with the school.
When English UK receives your complaint, it will tell you that it has received it.
English UK will also write to the school’s Principal and ask for a response within two weeks. English UK will then write to you based on the school’s response.
If you are still unhappy, English UK will send your further comments to the school and ask the school to consider the complaint again.
If you are still not satisfied after the school’s second response, English UK will send the complaint to the independent Ombudsman.
The Ombudsman will receive the letters and other information about the case. The Ombudsman can ask for more documents and can ask questions to the school, the student making the complaint, or other people.
The Ombudsman will then prepare a written report and make a decision. The report will be sent to you and the school.
The school must follow the Ombudsman’s decision.
The Ombudsman normally takes between four and six weeks to make a decision.
There is no cost to the student for using the Ombudsman.
Using the Ombudsman does not stop you from taking legal action later if you choose to do so.
After the Ombudsman has made a decision and the school has followed it, the English UK complaints process is finished.
The Ombudsman will not continue discussing the complaint with the school or student after this point. English UK will also treat the Ombudsman’s decision as final.
If you start legal proceedings against the school at any time during the complaints process, English UK will stop considering your complaint until the legal proceedings have finished.
